Property Onboarding Form

This short form will help us gather the essential information about the specific property we will be managing. Please fill it out to the best of your ability. Mahalo!

Property Information

Whats the full address of the property that will be under management? Be sure to include the specific unit number if applicable.

Who owns the property?

(You can include multiple names, trusts, or LLCs)

Please share a link to the current property listing (if possible)

If an existing short term rental, share Airbnb/VRBO link. If its a new purchase thats not an existing STR, share a Zillow/Redfin link

Are there any cameras at the property? If so, where?

Ex: Ring camera on exterior by front entrance

Do you have a spare key(s) on island that we can have access to? If so, where?

We require having a physical key as a back up to the smart lock. We will make extra copies of key at no charge.

If Laundry is on-site, please share directions and access info. If laundry is in-unit, state that below

Share if there is a key, where laundry is located on site, and any additional info needed

WiFi and Internet

Who is the internet provider at the property?

Ex: Spectrum, Hawaiian Telecom etc

What is the WiFi network name?

What is the WiFi password?

This will allow us to troubleshoot wifi/internet issues, virtually reset the router and modem, and see any outages.

Door Code and Access

Does the property currently have a wifi-enabled smart lock?

⚠️ Important Note: Our team will require access to the smart lock app/login to create codes for guests and troubleshoot any access. We use software that creates a unique code for each guest based on their check in/check out date. We require smart locks that are wifi enabled and that integrate with the software we use.

Does the property have a linen/owner closet that is locked and can be used for storing linens and supplies?


AOAO/HOA Information

Does the condo complex have an online portal for owners/managers?

Ex: Some complexes use CondoControl, TownSquare etc for sharing critical announcements or complex updates that may affect guests

Please share the names and contact information for any/all complex or HOA/AOAO contacts

Does the AOAO or HOA require any specific instructions or actions for guests staying at the complex?

Example: Guests must register at the front office, managers must register all booked guests before arrival, guest require a parking pass etc.

Complex and Parking

Does the complex require a parking pass for guests?

Does this property have reserved parking or open parking? If reserved, enter the parking details like stall number etc

Is there a gate or code needed to access the complex? If so, share the code

Do any of the complex amenities have a code or access instructions? If so, please share how to access it, any codes, or special instructions

Ex: Pool code, registration required for tennis courts, locked pickleball courts etc

Maintenance & Cleaning

When was the last time the AC was professionally serviced? If unknown, write "Unknown".

Bookings and Owner Stays

Do you have existing guest bookings (from paying guests) on your calendar after the management transition date?

Please share the check-in and check-out dates for ANY upcoming owner stay dates on the calendar
